This Privacy Policy explains what information we collect from representatives and staff using Vault, how we use it, who can see it, and the rights you have over it.
This policy covers Vault users and applicants: the people applying to join, and the representatives, trainers, staff, and leaders affiliated with Empire Builders who have been invited into the platform. It does not cover your clients; client-facing privacy practices are governed by the relevant providers, the agency, and applicable state and federal privacy laws.
To operate Vault, we collect:
We use this information to operate and secure the platform, support your onboarding and your leadership's coaching, review and approve invites, understand how the platform is used, and meet our legal, regulatory, and contractual obligations.
Inside Empire Builders: you can see all of your own information; your leadership chain can see your profile and activity to support and coach you; authorized administrators and staff have access for operational, approval, and support purposes; and other representatives see only limited directory details so they can find trainers for client appointments.
Outside Empire Builders: We rely on a small number of trusted third-party providers that process data only on our behalf and only to deliver their service:
We do not sell your information, and we do not share it with advertisers or data brokers.
We protect your information with encryption in transit and at rest, passwordless one-time-code sign-in, single-active-session enforcement, and audit logging of sensitive administrative actions. No system is perfectly secure; if we ever detect a breach affecting your account, we'll notify you promptly and help you secure it.
We keep your account data for as long as you are an active representative, plus a reasonable period after you leave (generally up to 7 years) to meet tax, regulatory, and contractual record-keeping obligations imposed on Empire Builders by regulators and the providers we work with.
You can request deletion of your personal data at any time by emailing us at tech@wealtharmor.com. We will delete what we are legally able to delete; regulated records may need to be retained.

If you apply to affiliate with Empire Builders, this Policy also covers the information you submit during the application, including your identity and contact details, licensing and industry history, and your answers about carrier debt and background. As part of evaluating your application and arranging carrier appointments, Empire Builders and the carriers it works with may obtain background information and consumer reports about you, including reports from insurance-industry databases such as Vector One. This is described in Section 16 of our Terms of Service, and, where the law requires, you will receive a separate disclosure and sign a separate authorization before a consumer report is obtained under the federal Fair Credit Reporting Act (FCRA).
Because Empire Builders operates in the insurance and financial-services industry, some information we handle is nonpublic personal financial information protected under the Gramm-Leach-Bliley Act (GLBA) and applicable state insurance privacy rules. We collect and use this information only to provide and administer our services and to meet legal and carrier obligations, we restrict access to those who need it, we maintain safeguards to protect it, and we do not sell it or share it for others' marketing.
If you are a resident of California, Virginia, Colorado, Connecticut, Utah, or another state with a comprehensive privacy law, you may have additional rights over your personal information, subject to that law's exceptions for employment-related, business-to-business, financial (GLBA), and regulated records.
Categories. In the past 12 months we may have collected these categories of personal information: identifiers (such as name, email, phone); professional and licensing information; internet and usage activity; and, for applicants, background and consumer-report information. We collect it from you and from the consumer-reporting and industry sources described above, and use it for the business purposes described in this Policy.
No sale or sharing.We do not sell your personal information and do not share it for cross-context behavioral advertising, as those terms are defined under California's CCPA/CPRA and similar laws.
Your rights. Subject to legal exceptions, you may request to know, access, correct, delete, or receive a portable copy of your personal information, and you will not be discriminated against for exercising these rights. You may use an authorized agent to submit a request. To exercise these rights, email us at tech@wealtharmor.com; we will verify your request against the email on file with your account and respond within the time the applicable law requires.
We use session cookies to keep you logged in, and local-storage entries to remember UI preferences (sidebar collapsed state, dismissed banners, and similar). We do not use third-party advertising cookies or trackers.
When you use the Vault iOS app, we additionally process: a push notification device token (so we can deliver notifications you have opted into), your device type and app version, and photos or documents you choose to capture or upload from your device. Face ID and Touch ID are used only on your device to unlock the app; your biometric data never leaves your device and is never sent to us. You can turn off push notifications at any time in your device settings, and signing out of the app removes its device token from our systems.
Vault is not intended for anyone under 18. If you believe we have inadvertently collected information from a minor, contact us immediately so we can delete it.
We may update this Policy from time to time. When we make material changes, we'll announce them inside the platform and update the "Last updated" date above.
